Email Security

Mimecast is a critical system utilized at ATS to protect users from phishing emails and other potentially harmful content distributed via email. Emails will feature a banner highlighting potential suspicious elements. Additionally, it will indicate whether any ATS employee has previously received emails from the sender.

Clicking on "Report this email or Mark as Safe" will direct you to a webpage presenting three options:

  1. Report as dangerous to my security team
  2. Report as spam to my security team
  3. Mark as safe and hide warnings 

You can also access your personal Mimecast portal (Mimecast Login) to whitelist or blacklist certain emails. Opening the page will display a login screen. Enter your email address and click next to log in to your personal portal.

Password Policy

ATS policy requires that users change their passwords every 42 days. When nearing password expiration, an email notification will be sent to prompt you to reset it. This email will contain detailed instructions on how to proceed with the password reset, as well as information outlining the ATS password requirements:

Automatic Deletion of Inactive Teams Channels 

Teams channels that are inactive for a long period of time will be automatically removed after 180 days following the notification sent to the channel owner to renew the channel. The notification email:

External File Sharing with Customers

External sharing with customers can be facilitated through SharePoint or LeapFile. To utilize SharePoint, an external site needs to be established to enable collaborative file sharing with customers. LeapFile is a software used at ATS to share data with customers via email. Requests for access to LeapFile or SharePoint creation must be submitted through ATS' ticketing system, JIRA. 

 

External file sharing with customers through Teams is not allowed. However, external customers can still be invited to Teams channels for direct messaging purposes. For file sharing, SharePoint or LeapFile should be utilized instead.

 

ATS’ Ticketing System

ATS uses JIRA, which is a versatile ticketing system enabling teams to efficiently manage support requests, tasks, and projects through customizable issue tracking, visual boards, and real-time collaboration features. Avidity's access to JIRA will be initiated soon after the integration project is complete.
