Timeline

What to Expect

As part of the ATS acquisition of Avidity Science, the IT migration will ensure that we all adhere to the same standards and improve collaboration as we work together. The first step will be migrating Avidity’s Microsoft 365 tenant. This involves copying all data (user accounts, mailboxes, Teams channels, SharePoint sites, etc.) from the Avidity tenant to the ATS tenant. Once all data has been copied, all new data will be redirected to the ATS tenant.

 

Email Migration Weekend 

We will start migrating Avidity data, which includes email addresses, SharePoint sites, Teams channels, etc., on June 21, 2024. Email access will be temporarily disabled while we initiate the migration process. This means that you will not receive or be able to send any new emails during the specified downtime period. Emails sent to you or by you will be placed on hold until the downtime period concludes. Once the migration is complete, emails will no longer be held, and delivery will resume as usual.

 

Computer Migration Weekend 

During computer migration, computers will be moving to the ATS domain. This move will not affect any of your files, applications, etc. Instructions on how to initiate this step are documented in “2 - User Guide - Computer Connectivity”. 

 

Teams Migration

During the email migration weekend, Microsoft Teams data will be copied over to the ATS tenant. This data includes (*chat history, channels, shared files, etc.). Per ATS policies, Teams channels will have the prefix “MST-” included at the beginning of the name. For example, the Teams channel “Sales” will be renamed to “MST-Sales”. Additionally, external file sharing with customers will be disabled on all Teams channels. File sharing and collaborating with customers must be done in SharePoint instead of Teams. SharePoint sites for external customer collaboration can be created upon request. If you require external file sharing, send a ticket to ITSupport@AvidityScience.com with requirements immediately so we can request a SharePoint external site. 

 

Teams Voice Migration

During the migration weekend, Microsoft Teams voice and telephone will be copied over to the ATS tenant. Inbound and outbound calling is expected to be interrupted for up to an hour.

 

SharePoint Migration

Avidity’s SharePoint sites will be copied over to the ATS tenant during the email migration weekend. SharePoint permissions, data, logs, etc., will all be copied over. The URL for these sites will change from https://avidityscience.sharepoint.com to https://atsautomation4.sharepoint.com. Additionally, all sites will be renamed to have a prefix of “ATS-Avidity-“ for internal sites and “ATSE-Avidity-“ for external sites. For example, the SharePoint site https://avidityscience.sharepoint.com/sites/Finance will become https://atsautomation4.sharepoint.com/sites/ATS-Avidity-Finance

  1. Do I need to do anything to access my new account? 

    1. Yes, once the email migration is complete, you will need to follow the steps outlined in the '1 - User Guide - Email Connectivity' document to access your new account. 
  2. When can I access my new account?

    1. Migration is expected to be complete for the start of business (your local time) on Monday, June 24, 2024. You will need to follow the steps outlined in the '1 - User Guide - Email Connectivity' document to access your new account. 
  3. Will I lose all my emails?

    1. No, all the emails will be copied over to your new account. This includes meetings, emails sent, deleted items, folders, filters, email signatures, etc. 
  4. My current authenticator app is Duo, will this change once the migration is done?

    1. Yes, the ATS supported authenticator application is the official Microsoft Authenticator app. There are steps in the document “1 - User Guide - Email Connectivity”, that display instructions on how Microsoft Authenticator can be set up.
  5. SharePoint links are not working anymore, how do I fix this?

    1. You will need to edit your bookmarks and update the URL to point to the new ATS tenant. For example, the site https://avidityscience.sharepoint.com/sites/LS.Orders will no longer work, and the URL will need to be updated to https://atsautomation4.sharepoint.com/sites/ATS-Avidity-LS.Orders 
  6. Teams channels now have “MST” at the beginning of the name, can this be changed?

    1. No, ATS has a policy to add “MST” as a prefix to all Teams channels to eliminate duplicate name entries and to distinguish Teams channels from SharePoint sites
  7. Can I still use Teams to share files with customers?

    1. No, customers can be added to Teams channels, but they cannot download any files. To share files and collaborate with customers, an external SharePoint site must be created and utilized. If you require external file sharing, send a ticket to ITSupport@AvidityScience.com so we can request an external SharePoint site for customer collaboration or Leap File account for one off sharing.
